This post is located in the Meetings Coordination and Planning Unit, Meetings Management Section (MMS), Central Planning and Coordination Service (CPCS), Division of Conference Management (DCM), United Nations Office at Geneva (UNOG).
工作內(nèi)容
Within delegated authority, and under the supervision of the Chief, Meetings Management Section, the Conference Affairs Officer will be responsible for the following duties:
- Supervises the preparation of the biennial calendar of meetings serviced by UNOG Division of Conference Management (DCM) and liaises with DGACM (Department for General Assembly and Conference Management) at UNHQ (Headquarters of the United Nations). Coordinates the provision of conference services with client departments and offices, and within UNOG. Ensures the correct implementation of the legislative provisions and the even distribution of meetings throughout the year to the maximum extent possible. Accommodates all mandated meetings within approved or available resources.
- Ensures that the legislative mandates approved by the General Assembly, the Security Council, ECOSOC, the Human Rights Council and other authorized organs in respect of all meetings and conferences serviced by UNOG are duly reflected and updated in the related repository.
- Provides guidance to clients on conference policies and practices, management of the UNOG calendar of meetings and conference facilities. Ensures that conference support to clients’ substantive work programmes is carried out in a quality and timely fashion. Undertakes and coordinates special projects as assigned by the Chief of Section or Service.
- Oversees the work of the Meetings Coordination and Planning Unit, sets priorities, gives authoritative advice and provides guidance as required.
- Identifies the need for new systems/applications or modifications to existing applications and undertakes business analysis in conjunction with technological developments. Proposes workflow improvements, including on the introduction of new technical tools. Tracks and monitors project progress against plans, requirements, quality measures, standard processes and liaises with users on all matters during the development and implementation phases.
- Coordinates the planning and servicing of extra-budgetary and ad-hoc events. Liaises with other sections and services of the DCM, UNOG divisions and services, and outside providers. Develops servicing packages/scenarios and negotiates with clients. Ensures the acceptance of cost-effective and rational options.
- Contributes/drafts substantive inputs to the pattern of conferences reports, conference management reports, as well as other required or ad-hoc reports to be prepared by the Section, Service, Division, UNOG or DGACM. Drafts communications to clients.
- Participates in the coordination of the refurbishment of the conference rooms. Ensures that the latest standards and technologies, including for remote participation, are implemented. Strives to improve quality, timeliness and cost efficiency of the meetings services. Facilitates conditions for the meeting participants.
- Takes part in planning missions for the organization of conferences outside of UNOG. Negotiates conference servicing parts of Host Country Agreements: logistical support, technical facilities and incremental costs. Acts as Conference Services Coordinator or Deputy at meetings held outside Geneva. Drafts mission reports and/or conference servicing reports following missions and conferences highlighting problems encountered, solutions found and lessons learned.
- Assists the Chief of Section in recruiting, evaluating and training staff.
- Represents the Section and, as required the Service, at meetings on conference planning and coordination.
- Acts as Officer in Charge of the Section in the absence of the Chief.

專業(yè)要求
An advanced university degree (Master’s degree or equivalent degree) in communications, languages, social sciences, business or public administration, event or operations management, international affairs, information management systems or related fields is required. A first-level university degree in combination with two additional years of qualifying experience may be accepted in lieu of the advanced university degree.
工作經(jīng)驗(yàn)
A minimum of seven (7) years of progressively responsible experience in conference management, administration, information management systems, operations or programme management or related field, including three (3) years of experience in activities directly related to conference servicing, preferably in the United Nations Common System, other intergovernmental organizations, or in the private sector at the international level. Managerial experience in leading teams is required. Experience in planning the calendar of meetings and servicing intergovernmental conferences is an advantage. Experience in change management, business analysis, and development of policies and procedures is desirable.

English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required. Fluency in French is an asset. Knowledge of a third United Nations official language is an advantage.
